When I first took over facility purchasing for our office in 2020, I assumed "maintenance" meant waiting for something to break and then calling a vendor. Most facility problems are preventable if you run through a simple checklist a couple of times a year.

Remove the loose items first. Take out the ice trays, bags of frozen vegetables, and anything else that's easy to move. Put them in a cooler with ice packs. Leave the heavier stuff for now.
Scrape the large ice chunks with a plastic scraper. Never use a metal scraper—you risk puncturing the freezer lining and losing refrigerant. A plastic putty knife works best. Work from the edges of the ice toward the center, and stop when you get close to the back panel. That panel sits directly in front of the evaporator coils, and it's surprisingly easy to damage.
Point a desk fan into the freezer. This is the trick that makes the "without turning it off" approach work. The circulating air speeds up frost melt dramatically. With a fan on low, I've cut defrost time from about three hours (unplugged) to 45 minutes.
Put towels down first. Meltwater has to go somewhere. Towels around and under the unit save you from a puddle on the office floor and potential water damage. Check the drip pan (the shallow tray beneath the unit) at the same time—if it's cracked, replace it before it fills.
Don't try to remove every bit of frost in one session. If the freezer has heavy buildup, do a second pass in a few days. The compressor tolerates some frost without damage; it just runs less efficiently. Chipping away at every last piece risks damaging the lining. Regular defrosting—every three to four months—keeps the job manageable.
Honestly, there's something quietly satisfying about opening a freezer a month later and seeing clean, frost-free walls. Nobody else notices it. But you know the compressor isn't working overtime, and that's the win.
The compressor is the heart of any refrigeration system (meaning the pump that compresses refrigerant and pushes it through the coils). If it fails, you're choosing between an expensive repair and a new appliance.

Beyond filters, an annual inspection by a qualified HVAC technician is worth the cost. They check the refrigerant charge, measure electrical draw, and inspect the compressor. It's a few hundred per year, and in my experience, it's the best money spent to avoid emergency repair calls.
If your building uses heat pumps instead of a traditional furnace, ask the technician to cycle the reversing valve (which switches between heating and cooling modes) during the inspection. The valve, controlled by a solenoid, can stick if it doesn't move regularly. Running the system through a full heating-to-cooling transition at the start of each season keeps it functional.
A maintenance checklist only works if you keep records. For each task above, I log the items inspected or replaced (with model numbers), the date of service, the cost, and which vendor or technician did the work.
This documentation has saved me twice. Once, it proved a repair was still under warranty. Another time, it justified a budget increase for appliance replacement, because I could show exactly which units had failed and how old they were. We use a simple spreadsheet. Nothing fancy.
